Book 6-12 months ahead for weddings during peak season (May through October) and major holidays. Corporate events and smaller celebrations typically need 2-3 months notice, but popular dates like graduation weekends or New Year’s Eve fill up quickly. If you have flexibility with dates, you’ll have more options and potentially better pricing. We keep a calendar of available dates and can suggest alternatives if your first choice isn’t open. Early booking also gives you more time for menu planning and coordination with other vendors.
Standard packages include venue space for your specified hours, tables and chairs for your guest count, basic linens, setup and breakdown service, and cleanup afterward. Catering packages add appetizers, main course, sides, dessert, and serving staff. Bar packages include bartender, standard liquor selection, beer, wine, mixers, and glassware. We also provide basic audio equipment for speeches, background music capability, and event coordination to manage your timeline. Additional services like upgraded linens, specialty lighting, or extended hours are available for an additional cost.
Yes, we regularly accommodate vegetarian, vegan, gluten-free, and other dietary needs. During menu planning, we’ll discuss any restrictions your guests have and suggest appropriate alternatives or modifications. We can prepare separate dishes for guests with allergies or create modified versions of standard menu items. Our kitchen staff understands cross-contamination concerns and takes proper precautions when preparing special dietary meals. We recommend finalizing dietary requirements at least two weeks before your event to ensure proper preparation and ingredient sourcing.
Guest count changes are common and expected. We require a preliminary count when you book and a final count one week before your event. You can increase numbers up to our venue capacity, and we’ll adjust catering and setup accordingly. For decreases, we typically don’t charge for reductions made more than two weeks in advance. Last-minute increases might incur rush charges depending on availability of ingredients and staffing. We build some flexibility into our planning, but significant changes close to your event date may limit menu options or require additional coordination time.
Our team handles all venue setup including tables, chairs, linens, place settings, and basic decorations. We coordinate timing for any outside vendors you’re using and manage breakdown of all our equipment and supplies after your event. Cleanup includes clearing tables, washing dishes, removing trash, and returning the space to its original condition. If you’re bringing personal decorations or items, we’ll work with you on setup timing and can assist with basic arrangement. However, you’re responsible for removing any personal items and decorations you provide.
We require a deposit to secure your date, with the balance due two weeks before your event. Payment plans are available for larger events booked well in advance. Cancellation policies vary by how far ahead you cancel—generally, cancellations more than 90 days out receive full deposit refunds minus administrative fees. Cancellations closer to your event date may forfeit larger portions of deposits due to lost booking opportunities and preparation costs already incurred. We’ll provide complete payment and cancellation terms in your contract, and we recommend event insurance for protection against unforeseen circumstances.
